Discover, Analyze, Identify, and Classify

Content Analysis is guided by contextual information such as policy definition, attributes, and end user input for the most accurate classification. The solution reduces the number of false positives, automates burdensome tasks, and achieves enterprise scalability while removing subjectivity.

Discovery

Discovery scans the corporate network and quickly locates exposed confidential data wherever it exists. Supports broad range of file shares, laptops, desktops, email repositories, portals and records management systems. Collaboration and productivity is improved when team members can quickly and easily find the right documents.

Identification

Classifies documents/emails based on content and metadata using either automated or user-driven workflow. Criteria are based on a combination of contextual information from rules, user input, and attributes obtained from a sample source to determine classification. Perform remediation at the time of discovery by uploading documents to SharePoint or placing them in a quarantine folder.

Content Analysis

Analyze content based on keywords, fingerprints, exact data matches, patterns, described data and file metadata. User directed allows user to specify objectives and give direction to the scanner. Workflow based classification provides a way to specify the action to take after analysis. Reduces false positives.

File Fingerprinting

File Fingerprinting is a Content Analysis technique that applies a unique Digital ID to a document, email, or attachment. Content Analysis using File Fingerprinting will quickly find and classify similar and derivative documents. Automating classification saves time while improving data protection.

Partial Document Matching

Partial Document Matching is a Content Analysis technique that applies a unique Digital ID to excerpts from documents, emails or attachments. The sample size can be a few words, a few sentences, paragraphs or entire documents. Partial Document Matching determines a complete or partial match on any content needing protection. Once sensitive content has been described, user actions are monitored for cut and paste from one document to another, into email, instant message or other forms of communication. Depending on the policy definition, the action can be blocked, produce a warning, logged, and/or trigger an email notification.

Persistent Tagging

Applies customizable tags to documents and emails that can be leveraged for enforcement and classification. The tags are inserted into the file metadata and will stay with the document even when viewed outside the system. Documents and emails are permanently labeled and can be searched for by classification category. The result is that documents don’t have to be re-analyzed every time to determine their classification providing a highly scalable, flexible methodology.

Marking

Marking applies a customizable header or footer to emails and documents. The text in the header or footer can be applied to specific emails based on criteria such as sender, domain, content, and attachments or it can be applied to all emails uniformly. Marking ensures organizations are able to easily adhere to regulatory compliance in communications.

Tracking & Reporting

Tracking and Reporting provides a defensible process by monitoring and logging document and policy activities. User actions, system events, allows and denies are all tracked and viewable in an easy to read report or a graphical summary is available. Audit capabilities such as these are a requirement to meet compliance regulations.
